Glossary

The words the help center uses, what each means in Refficks, and what the screens call it when that differs. Where a word has one article that explains it fully, the entry links there.

A merchant can rename five words in their partners' portal: partner, commission, payout, referral and reward. Partners may see the merchant's words instead of these.

Adjustment

A ledger entry written when a commission is recalculated, for the difference between what it is worth now and what it was. It starts Pending. The original entry is never edited. See Commission missing or wrong.

Applicant

Somebody who applied through a program's public signup page and is waiting for a decision. An applicant cannot earn until approved. See Review applications.

Archive

Takes a partner out of your lists and stops them earning in every program. Their memberships are kept, so Unarchive restores exactly what ran. See Suspend, archive or end a partner's access.

Attribution

How Refficks decides which partner, if any, earned a sale. Every decision is stored with its reasoning and shown on Why this conversion was attributed. In our own sentences we usually say a sale is credited to a partner. See How attribution works.

Attribution window

How long after a click a sale still counts for the partner ("what other platforms call the cookie duration"). Set per program, 1 to 365 days, 30 by default. The window is fixed on the click when it is recorded.

Automation

A rule on Campaigns › Automations: when something happens (the trigger), if a condition holds, do these things. It never touches money. See Automations.

Automation key

A key made on the Zapier, Make, n8n and Pabbly Connect card on Integrations › Developer. It does less than a secret key: it never reports sales, and it cannot approve applicants or change programs. See Connect Zapier, Make, n8n or Pabbly Connect.

Bonus

A one-off payment to a partner, written as a pending commission, from an accepted recommendation, a collaboration's revenue target or a referral reward paid in money. See How bonuses work.

Clawback

The reversal of a commission that was already paid. It is an approved negative amount that comes off the partner's next payout in the same currency. See Refunds and reversals.

Collaboration

A piece of work a merchant and a creator agree to do together: a brief, how creators are paid (Fee only, Commission only or Fee and commission), a deadline and the creator's answer. See Run a creator collaboration.

Commission

What a partner earns from one sale credited to them, as an entry in the ledger. Each entry stores the arithmetic it was written with, such as "20% of USD 49.00".

Commission plan

The rule that says what a partner earns in one program: a percentage or a fixed amount, once or on renewals, with conditions and a priority. Each sale is paid by exactly one plan. See Commission plans.

Commission status

On screen Means
Pending Earned and waiting for a decision.
Approved Owed. It goes into the next payout run.
Rejected Decided not owed. Never paid.
Reversed Taken back by a refund, a dispute or a cancellation.
Paid Settled by a payout that was marked paid.

See Approve commissions.

Connected AI app

Claude, ChatGPT or another app a team member connects to Refficks, acting as that person: it can read and save drafts, and never change money or send anything. Off until an owner or admin turns it on. See Connect Claude or ChatGPT to Refficks.

Conversion

A sale (an order or a paid invoice) Refficks recorded, whether or not a partner was credited for it. Listed under Conversions.

Credited later

A sale that was credited to nobody and then moved to a partner because the buyer was identified within 24 hours. The conversion says why, and the move is recorded in History.

Credited to nobody ("No partner")

A sale recorded with no partner credited, with the reason. It is kept, not dropped. See Sale not credited.

Cutover

The moment Refficks starts paying a program moved from another platform (Switching over on screen). A sale is judged by when it happened. See Move your program from another platform.

Deal registration

A B2B partner's claim on an account before they work it, protected for the program's window (90 days unless changed) once you approve it. See Run an agency and B2B partner program.

Deliverable

One piece of work asked of a creator in a collaboration, tracked on its own: sent, reviewed, approved, published.

Delivery

One message a provider sent to Refficks (a Stripe payment, a Shopify order), or one message Refficks sent to your own webhook endpoint, with its outcome. Shown under Recent deliveries on an integration's page, or on Integrations › Webhooks.

Do-not-send list

Addresses Refficks will not write to, for any merchant: after a permanent bounce, a spam complaint, or when Refficks support adds one. A temporary bounce never adds an address. See A partner says your emails are not arriving.

End their access

Closes your partner portal to one partner. What they are owed and their other programs are untouched, and Give it back undoes it.

Finding

Something Refficks noticed about a partner, under Opportunities or Risks, with its evidence. Unlike a recommendation, it has nothing to apply. See Intelligence, scores and recommendations.

Getting started

The checklist Refficks fills in from what it has seen. Lines marked Needed must be done before the workspace reads Ready to run: "A sale has gone all the way through: recorded, credited to a partner, and turned into commission." See Merchant quickstart.

Global Privacy Control

A browser setting that says "do not sell or share my data". When a browser sends it, the tracking script writes nothing and sends nothing. Do Not Track on its own is not read.

History

The audit trail of who did what and when, with the values before and after: Settings › Developer › History.

Idempotency key

The Idempotency-Key header a developer sends with each event. Sending the same key and body again returns the original result instead of recording the event twice. See Send events from your server.

Lead

A prospect a B2B partner sends you, under Leads. Qualifying a lead does not make a deal by itself.

The query parameter that carries a partner's code in their link, such as ?rfi=dana. rfi is the default for new workspaces; you can rename it under Settings › Partners and payouts › Partner links, and old names keep working.

Merchant

The business that runs a partner program in Refficks.

Minimum payout

The smallest amount worth sending to a partner ("Smallest payout worth sending"). Below it, what the partner is owed rolls into a later payout run. Set under Settings › Partners and payouts › Payout runs.

Minor unit

The smallest unit of a currency, as Stripe counts it. Refficks stores and accepts money as a whole number of minor units with its currency: USD 49.00 is 4900, and ¥4,900 is 4900 because yen have no smaller unit.

Mission

One thing you would like an ambassador to do, and what it is worth in points. Missions has three tabs: Missions, Pending (sent in and waiting on you) and Approved (the content library). See Run an ambassador program.

Module

What a program is for: Affiliate, Referral, Creator, Ambassador, or agency and B2B. "This cannot be changed once the program exists."

Opening balance

Money a partner's old platform still owed them, brought across in a migration as a pending commission you approve.

Own domain

A hostname of yours (for example partners.yourcompany.com), proved with a TXT record and pointed at Refficks, that serves your signup page and the whole partner portal. See Use your own domain.

A commission plan's choice of how what it earns is paid: Money, Store credit or The partner chooses. New plans start from the program's How partners are paid. See Pay partners in store credit.

Partner

Anyone who promotes a merchant: an affiliate, creator, ambassador, referrer, agency or reseller. One person is one partner, whatever roles they hold.

Partner code

The code that identifies a partner in a program. It is the code in their tracking link and, when the merchant switches it on, their discount code.

Partner portal

The partner's own site: their links, codes, commission, payouts and profile. One email and password cover every merchant a partner works with. It can run on the merchant's own address with the merchant's branding. See Partner getting started.

Payout

One payment to one partner in one currency. Its status reads Draft, Pending approval, Approved, Processing, Paid, Failed, Cancelled or Returned by the bank. See Pay your partners.

Payout details

Where a partner is paid: PayPal, a bank account, Wise, something else, or store credit. Stored encrypted and never shown back on any screen, including to the partner who typed them.

Payout run

What Create payouts builds from Ready to pay: one draft payout per partner per currency.

Points

An ambassador's balance, earned from missions and spent on rewards. Points are not money and may expire if the program says so.

Program

Where a merchant sets the terms partners work under: where links point, the attribution window, the commission plans, and whether people can apply. The menu says Programs; some screens say "programme".

Publishable key

An API key starting rk_pub_ for the tracking script on a public web page. It records visits and identifies customers. It cannot read anything or report revenue on its own. See API keys.

Query

A partner's report that a sale is missing or a commission looks wrong. Partners raise one from Something not right? on their commission page; merchants answer under Queries. Raising one changes no money. See Raise a query and Answer partner queries.

Read-only workspace

A workspace whose trial has ended or whose subscription has lapsed. Its tracking is paused: partner links still reach the site, but no clicks or sales are recorded, and a sale made then is never credited. Paying approved money carries on; other changes are refused. Three months unpaid closes the account. Billing is switched off today. See Your subscription, and what read-only means.

Recommendation

Something Refficks suggests doing, on Needs you, with a button to apply it (raise a rate, award a bonus). A person always decides; nothing applies itself. See Intelligence, scores and recommendations.

Recruiter share

A share of a recruit's commission paid to the partner who recruited them, on top of the recruit's own commission, never taken from it.

Redemption

An ambassador spending points on a reward from the program's shelf, which you then deliver.

Referrer

A customer you enrolled in a referral program, who sends their friends. See Set up a referral program.

Request id

The X-Request-Id header on every API response, repeated as error.request_id in errors. Include it when you write to support.

Reversal

A second ledger entry beside a commission that takes back a refund's, dispute's or cancellation's share. The original entry is never edited.

Roles

The five team roles in a workspace: Owner, Admin, Manager, Analyst and Support. See Team roles and permissions.

Secret key

An API key starting rk_live_, kept on your server. It reports events and uses the Server API. No key can approve or pay anything. See API keys.

Self-billed invoice

An invoice you issue in a partner's name for a paid payout, under an agreement they accepted. A credit note cancels it if the payment comes back. UK and EU only. See Issue self-billed invoices.

Shadow run

During a migration, while the old platform still pays, Refficks works out what it would pay, pays nobody, and compares partner by partner (Beside the old platform, on screen).

Signed delivery

A delivery the provider signed with a secret you pasted, or with a value Refficks made. A commission on it can approve itself. An unsigned delivery is vouched for by its address alone: its sale is marked Unverified and its commission waits for a person. See Connect a billing platform or creator checkout.

Signing secret

The secret a sender signs each delivery with, so the receiver can prove it came from them. Stripe's and Refficks's both start whsec_. Shown once, stored encrypted.

Single sign-on

Signing in to the dashboard through your company's identity provider. Required, it ends password sessions at your domain, owners excepted. See Two-step sign-in and single sign-on.

Statement

The PDF for a payout that was sent: what was paid, when, how and what it covered. It is not a tax invoice. See When you get paid.

Store credit

Credit on a partner's customer account at your store instead of money: a Stripe customer balance, Shopify store credit or a BigCommerce gift certificate. See Pay partners in store credit.

Sub-ID

A label a partner adds to a copy of their link (sub1 to sub5) to see which post or placement brought in what.

Support session

Refficks support signed in as one of your team, for up to 30 minutes, listed in Settings › Developer › History. It can make nothing that outlasts it, such as a key or a webhook address.

Suspend

Stops a partner earning in one program from that moment. Their links still reach your site and what they earned is untouched. Reinstate undoes it.

Tax form

A partner's W-9, W-8BEN or W-8BEN-E, given in their portal. Without one, a US partner's payout can be held. See Collect tax forms and prepare the 1099-NEC.

Touch

A partner's claim on a customer: a click on their link, their code used at checkout, your server naming them, or a person on your team crediting a sale to them. Attribution chooses between touches.

Two-step sign-in

A six-digit code from an authenticator app after the password, with eight one-time recovery codes for a lost phone. Other products call it two-factor authentication.

Usage rights

Your permission to reuse a creator's content, for an agreed window. A collaboration shows whether they are in force, expiring soon (14 days) or expired.

Visitor id

The id the tracking script keeps for a browser in the rk_vid cookie on the merchant's own site. A server passes it as visitor_id to join a person to the partner links they followed. Refficks gives each workspace its own id for the same browser, so an id means nothing to another merchant.

Website orders

Orders reported by the shopper's browser from a confirmation page, switched on under Settings › Developer › Website orders. An order the merchant's server did not sign waits for a person before its commission is approved.

Workspace

The merchant's account in Refficks: its team, programs, partners and data. Screens and the API call it an organization.

Workspace address

The name in your signup page's and portal's address (/join/<address>, or <address>. before Refficks's own domain). You can change it, and old addresses redirect. See Change your workspace's address.
